Options for Faculty Obtaining Videos and DVDs for Class use
- Consult with your liaison Librarian to determine whether the DVD or Video can be purchased and added to Helmke Library's collection
If the DVD or video is something you think you will want to show in your classes semester after semester, please contact the liaison librarian to determine if it can be purchased by Helmke Library for addition to our library's collection. If you do not know who your liaison is, you may find your librarian at http://librarian.lib.ipfw.edu by subject area.
Helmke Library loans most DVDs and VHS cassettes from our library collection for 42 days. Please be aware that other patrons and/or libraries may also check out these items, so a library purchase does not guarantee that an item will always available on the day you need it year after year unless you check it out ahead of time.
- Scheduling/Booking videos and DVDs found in IUCAT to be held by a Bloomington Library
Search IUCAT for the title:
- If an IUCAT search shows the Bloomington library Location is Wells Library - Media Services, faculty members may schedule the item for use in a class on a particular date. This scheduling option is called Booking and is only available to faculty members. To book these items fill out the media request form found at; www.indiana.edu.
- To allow adequate delivery time, the booking form should be filled out at least one week in advance to the date the film is to be shown.
- Requests for bookings may be made months ahead of time, even prior to the beginning of a semester, by filling out a Media Request for each item needed or by e-mailing a list of titles and the dates each are needed directly to libmedia@indiana.edu.
- Faculty will be sent automated emails the day after an item as been scheduled into the booking system and again on the day the item is shipped.
- Once scheduled, a list of scheduled items and dates scheduled can be seen by logging into IUCAT's "My Account" and looking under the "Bookings" header.
- All scheduled/booked items will be sent via campus mail to the faculty member. The address used will be that given in the Library's database; contact IPFW Human Resources if your address needs to be updated. A return label will be enclosed with the item and Faculty members should also return these items to the Bloomington via Campus Mail.
- The loan length for these booked media items is 7 days. Since these media items are heavily used, extension of loan length may not be possible but may be requested via email to libmedia@indiana.edu
- Videos and DVDs found in IUCAT with the location of Bloomington Browsing Collection are not bookable for a particular date using the above IU media request form, and they will not be loaned for off-Bloomington campus use.
- Videos and DVDs found in IUCAT with the Bloomington Location ALF are not bookable for a particular date using the above IU media form. Items with the location of ALF that are video format may be requested through Helmke library's Document Delivery Services. Bloomington ALF will loan videos but will not loan DVDs via Document Delivery Services/interlibrary loan.
- Arrival time is not guaranteed. The IU ALF loan length is normally 14 days and the item may be renewable for an additional 14 days.
Other Options for Obtaining DVDs and Videos for Students, Staff and Faculty
- Via IUCAT Request Delivery
Due to individual campuses' loan lengths, only DVDs and videos held by IUPUI University Library (I-UNIVLIB) and our own Fort Wayne Helmke Library are eligible for Request Delivery via IUCAT. If a location other than I-Univlib (IUPUI) is found to hold an item you wish to borrow, place a request for it using the Document Delivery Services system.
To place a Request Delivery for a DVD or video held by I-Univlib or Fort Wayne Helmke Library:
- Log into IUCAT Catalog (Indiana University's online library catalog)
- Select DVD/Video Search link on the right-hand side of the screen under "More IUCAT Searches"
- Change the library setting under the second brick red bar to ALL
- Enter the item's title into the title search box
- Select the item you need by clicking on the title
- When the full bibliographic record appears, click on the Request Delivery link in the box to the right of the record
- On the page that follows, use the drop down box to select location where you wish the item to be delivered
- Click the gray Request Delivery button under it
- The page that returns will tell you if your request was successful
- Please be aware however that if it says "We are sorry. This item is not available for delivery," you will need to use the Document Delivery Services system to request the item from elsewhere.
Requests made through IUCAT's Request Delivery system may be tracked using IUCAT's "My Account". These are direct loans to you from the library that owns the material. When the item arrives, items for staff and faculty will be charged out to your IUCAT account and mailed via Campus mail to your office.
Students will receive a notification of arrival in your IPFW email account and the item will be held for your pick up at the Helmke Library Service Desk. Students will need their Mastodon card to charge out the item.
All items received through IUCAT's Request Delivery system should be returned to Helmke Library where they will be discharged from your account and mailed back to the lending library.
Please be aware that there is no guarantee of delivery date for items ordered through IUCAT's Request Delivery system. These items may or may not be renewable.
Document Delivery Services should be used to request DVDs and videos not available through IUCAT's Request Delivery system or not held by any IU library.
- From the Helmke Library homepage www.lib.ipfw.edu click on the Document Delivery Services link
- At the DDS Document Delivery Services page, click the "Enter DDS Request System" link and then login using your IPFW username and password
- Under the New Request menu, select "DVD/Video/Tape/CD"
- When the request form displays, enter the exact title in the title field, and the date of production in the "Date of Publication" field
- If you have the name of the production company please enter it in the Publisher field
- Because this form is used for four different formats, it would be most helpful if in the Notes field you also enter the specific format of the item you are requesting, i.e. ‘This is a video' or ‘Need DVD version only' (it is O.K. to delete the default words [DVD/Video/Tape/CD] in the notes field when adding your own format note. After entering all of the information you have, click the Submit Request button at the bottom of the form
- Items received via Document Delivery Services will be charged out to staff and faculty members and shipped to your office via campus mail
- Students will receive a notification of arrival via your IPFW email account and the item will be held for you at the Helmke Library Service desk
- Students will need an IPFW Mastodon card to charge out the item.
Please be aware that there is no guarantee of delivery date for items ordered through Document Delivery Services. Sometimes the request goes out to many libraries before one agrees to loan it, and depending upon that library's policies there is no way of knowing if they will ship it quickly (via UPS) or slowly (via Library Rate). Since Document Delivery requests items from a variety of institutions, the length of loans will vary and an item may or may not be renewable dependent upon the lending institution's policies.
