Library Supported ServicesThe Library will provide document delivery of materials from a nationwide, no-charge resource sharing network for IPFW undergraduate and continuing education faculty. The library will provide document delivery of materials from libraries, commercial vendors, or other sources to satisfy the research needs of faculty, emeritus faculty, staff, and graduate students. DDS staff will search until the requested materials are located, until the search is exhausted, until the search has extended past the deadline, or the search exceeds the cost of the library subsidy. The Library's subsidy is $25.00 per request for faculty and $15.00 per request for staff and graduate students, plus applicable copyright royalty fees.
Types of Materials Available through DDSThe following materials can normally be obtained through Document Delivery Services:
- Monographs (books)
- Photocopies of periodical articles, book chapter or portions of a larger work
The following items may sometimes be obtained through Document Delivery Services depending upon the policies of the lending library:
- Doctoral dissertations
- Masters thesis
- Videos/DVDs
- Audio cassettes
- Compact disks
Document Delivery Services does not normally accept requests for:
- Items owned by the IPFW Helmke Library and are on the shelf
- Items on Reserve at the Helmke Library
- Items classified as Reference material
- Entire issues or volumes of journals
- Record albums
- Textbooks
Requesting MaterialsAll requests for document delivery should be placed through the Library's electronic document delivery system. Access to the DDS request system is available on campus and off campus from any workstation with access to the Internet. IPFW students, faculty and staff must enter their IPFW user ID and password to access document delivery services. Specific request forms are provided for books, photocopies, videos/DVDs, book chapters, conference papers, thesis, patents, and standards. Required fields are indicated in red. All other fields are optional. Select the Submit Request button to send requests to DDS staff for processing. DDS staff, paraprofessionals, and librarians are prepared to help those students, staff, or faculty who have questions about how to place an order through the library's electronic document delivery system. Document Delivery staff will assist with electronic document delivery system technical problems.
Tracking MaterialsThe library's online document delivery system allows users to review outstanding requests, view/download electronically received articles, view/renew checked out items, view request history, and view/resubmit cancelled requests. While DDS will send e-mail notices to alert users of the receipt or cancellation of requests, users can check status of their requests online at any time, by logging into the Document Delivery System and selecting the appropriate button under the Review Request section of the main menu.
E-mail NotificationAll DDS notices are sent via e-mail. These include notices of receipt of materials, cancellation notices, overdue and recall notices. E-mail notices are sent to the official IPFW e-mail address. While DDS sends e-mail notices to alert users of the receipt, cancellation, overdue or recall of DDS requests, the tracking system within the electronic document delivery system serves as an official backup notification system to e-mail.
Receiving MaterialsStudents should pick up books and other materials at the library's Service Desk. A valid IPFW ID is required to check out DDS materials. Books and other returnables will be checked out to faculty and staff and sent to them via campus mail.
Photocopies will be delivered electronically. The View/Download Electronically Received Articles button lists the documents that are available for viewing. Files remain on the Web for three weeks. Netscape and Internet Explorer are the preferred browsers for viewing pdf files. Users must have Adobe Acrobat installed on their workstation to open, read, and/or print files. Adobe Acrobat can be downloaded and installed for free by linking to and following the instructions on the library's Technical Requirements Web page.
Confidentiality of MaterialsThe Code of Ethics of the American Library Association and the Helmke Library Privacy Policy establish guidelines for the protection of library users' privacy and confidentiality rights. Following these guidelines, items ordered through Document Delivery Services will be given only to the person who placed the order, or to the person authorized by the user in their electronic document delivery account to retrieve DDS items. All library users must present a valid ID when picking up their materials. Document Delivery material can be picked up at the Helmke Library Service Desk during library hours.
Proxy AccountsFaculty may establish a proxy account for student assistants or staff who order items for them through DDS. Proxy cards can be obtained at the Service Desk. Proxy cards must be signed and dated by the faculty member. Allow 24-48 hours, Monday - Friday for creation of new proxy accounts.
Copyright The IPFW Helmke Library complies fully with the Copyright Revision Act of 1976 and its amendments. While the library exercises full fair use rights for its faculty, students, and staff provided in the statute, it also adheres to the basic principles established the Guidelines on Photocopying under Interlibrary Loan Arrangements negotiated on behalf of the House and Senate subcommittees at the time of the law's passage. The Copyright Guidelines primarily address photocopying from current periodicals. It suggests that: A library may request no more than five copies per year of copyrighted periodical articles published within the last five years in any given journal. No more than two articles may be copied from a single issue of a copyrighted periodical published within the last five years.
