Circulation and Reserves Library Borrowers CardsIPFW Official University ID Cards serve as library borrowers cards, good at any IU library. They may be picked up at the Walb Student Union Service Desk any time during the regular semester Monday through Saturday between 8 am and 9 pm, and Sunday between 1 pm and 9 pm. Loan PeriodsFaculty members may borrow most materials for a 120-day period. Renewal privileges are available and can be done online through the IUCAT Catalog. Books and other materials are normally subject to recall only after the first circulation period. However, items required for reserves will be recalled immediately. There is a $25.00 charge for a recalled item that is not returned within a week of the recall date. All materials must be returned or renewed by the due date. Course ReservesReservesEXpress is Helmke Library's course reserve service, providing student access to supplementary course materials assigned by faculty. The preferred electronic format gives students access to their reserve readings 24 hours a day, seven days a week from home or campus computers. The system also provides usage data to faculty and assures a secure system for managing copyrighted materials.
All items will be scanned and made available online unless copyright restrictions or format limitations prevent digitization. These items will be available for physical checkout.

Document Delivery Services (DDS)Document delivery is a service for obtaining research materials not available in the library. Cost of the service up to $20.00/item is subsidized by the library. All DDS requests must be submitted electronically. Faculty will receive their non-returnable items electronically.
Faculty should establish a proxy account for student assistants or staff who order items for them through DDS. Proxy cards can be obtained at the Service Desk. Faculty items ordered through proxy will be sent directly to faculty.

Reference & Information ServiceExpert Research ConsultingSkilled information assistants are available to help faculty find materials, access basic reference sources, and operate equipment. When more in-depth information is needed, reference librarians offer expert research consulting by appointment or on a walk-in basis. Librarians are eager to learn more about ongoing research projects and will help faculty members plan an effective search strategy, navigate electronic databases, and evaluate the wealth of online and printed resources available at Helmke Library or accessible at other institutions. Schedule a convenient time to meet at the Service Desk (481-6505) or contact the reference librarian who serves as liaison to a particular academic department or subject area.
Information Literacy PartnershipsLibrarians create a variety of tools to help faculty members design effective library assignments and promote information literacy skills.
For beginning students and their instructors, librarians offer a self-guided library orientation tour and quiz and general library guides. The library's homepage also links to a growing list of course guides and subject pathfinders designed to help instructors introduce basic resources and concepts.
For upper-level courses, librarians collaborate with instructors to present in-class instruction sessions in the library's Electronic Information Training Center (EITC) classroom-lab (LB440A). Together, faculty members and librarians assemble collections and develop customized course guides, search strategy exercises, and other assessments of student learning.
Faculty who would like to be certified to present an instruction session in the library's EITC classroom-lab should contact their liaison librarian for more information. The facility can be scheduled by calling (481-6514) or sending e-mail to the library administrative assistant.
Liaison to Academic DepartmentsIn addition to providing research support and information literacy instruction, librarians assigned to each department serve as library fund managers to help faculty select books and other library materials, review serials and reference collections, and prepare applications for grants to improve or maintain strengths in collection areas.
PIRS, the Public Information Reference ServicePIRS offers information from local, state, federal, and foreign national governments. Instruction in the use of government information is available. The library is a depository for U.S. and Fort Wayne city documents and also has an extensive Indiana document collection. Most documents are listed in IUCAT Catalog, the library's online catalog. An electronic collection of government information is presented on the library's Web site.
Acquisitions Policy and ProcedureCollection Development PolicyThe library’s collection development policy has been adopted by the Senate Library Subcommittee and by the Senate. The policy establishes guidelines for acquisition of library materials in all formats.
Book PurchasesFaculty members are encouraged to work with librarians to assure that essential materials required for courses are available in the library. Librarians and the library director will meet with individual faculty or with faculty departments to discuss library needs and issues. Contact the Director, 481-6514, or librarian assigned to the department.
The Senate Library Subcommittee has established an allocation formula for the book and media purchases. Allocations for books and other non-serial purchases are made to departments early in the fall semester and all faculty requests for purchases are due back to the library by December 1. A faculty member in each department is assigned by the department to be the liaison to the library.
Purchase requests may be submitted as initialed Choice cards, typed lists, or typed book request forms. Clearly marked publishers’ catalogs are also welcome.
New BooksThe library displays most new books as they are received. Books authored by faculty are identified. New acquisitions are listed by call number on the library's Web site.
Serials ReviewThe serials budget is not allocated to departments. On a periodic basis the library reviews its serial subscriptions and considers recommendations from faculty for new or replacement titles. Library policy is to purchase access to periodicals in electronic format whenever possible.
Special Needs FundsIn addition to general fund allocations, twice each year the library sets aside a portion of the endowment funds for special library material needs. The Library Subcommittee determines which proposals to fund. For more information contact Margit Codispoti, the Collection Development Officer (481-6507) or librarian assigned to the department.
Gifts to the LibraryIPFW's Helmke Library welcomes gifts of books and other information resources that enhance the strength of our collections and support instructional and research programs of the university. Due to critical space problems, the library requires a list or description of the proposed gift prior to acceptance and reserves the right to decline an offer of material that is already held in the collection or that does not meet collection needs.
Other ServicesDatabases and Other Electronic Library ResourcesThe library subscribes to over 200 databases for end-user searching. Many databases offer full-text electronic journals. See the Find Resources By... page on the library Web site.
Librarians provide online searches of hundreds of additional specialized databases. Most searches are fully subsided. Contact the librarian who is liaison to your department for more details.
Faculty PublicationsThe library regularly purchases copies of faculty-authored books and adds these to the special collections and to the general collections. We depend on faculty to notify us about new publications.
Library Publications
- Library Guides on various topics are available via the library’s Web site.
- Library Web site provides information about the library, its collections and policies, as well as other information.
- Self-Guided Tour, available on the Web, offers students and others the opportunity to learn about the special features, collections, and services of the library. A quiz is available online. Those who successfully complete the online quiz may print out a certificate.
- Off the Shelf - a newsletter for faculty and staff is issued irregularly, at least once each year.
- Helmke Library Fact Sheet - a statistical summary is issued annually.
Cited Reference SearchesLibrarians at Helmke Library offer cited reference searching as a service for IPFW faculty and staff. Information gathered from a cited reference search can help determine who is citing whom in the core journals of a discipline. Search Alert ServicesIPFW faculty, staff, and students can establish a personal journal article current awareness service with several different alerting services. For more information see the library's Search Alerts page or contact the librarian who is liaison to your department.
Reciprocal Borrowing Privileges
- The library is part of the Indiana University library system and the IPFW Mastodon Card is automatically good at any IU library. Visit IPFW's Helmke Library first to activate the card.
- Reciprocal borrowing cards are available to faculty and students in good standing for other Indiana academic libraries through the Academic Libraries of Indiana (ALI) Reciprocal Borrowing Program. This program allows students and faculty to check out materials. Circulation policies of the lending university apply. Cards are available at the Service Desk (481-6505).
- The CIC Reciprocal Borrowing Card is provided to faculty in good standing for use in any of the Big 10 libraries and the University of Chicago. Request the card from Cheryl Truesdell (481-6506), e-mail truesdel@ipfw.edu
- The OCLC Reciprocal Borrowing Program is sponsored by the members of the Association of Research Libraries of OCLC. CopyrightThe library complies fully with all of the provisions of the U.S. Copyright Law (17 U.S.C.) and its amendments. The library strongly supports the Fair Use section of the Copyright law (17 U.S.C. 107) which permits and protects citizens’ rights to reproduce and make other uses of copyrighted works for the purposes of teaching, scholarship, and research.
A Guide to Copyright for faculty is available on the library’s Web site. The copyright resource person in the library is Cheryl Truesdell (481-6506). Purdue University Memorandum B-53 addresses the use of copyrighted materials for educational and research purposes. The Purdue University Copyright Office (Donna L. Ferullo, Director, 765-496-3864) provides gudance to faculty and staff on the use of copyrighted works. Consult Purdue Memorandum B-10 regarding university policy relating to ownership of patents, copyrights, and other rights in inventions, etc. or contact Purdue Sponsored Programs Services (765-494-2610). An additional resource is IUPUI's Copyright Management Center on the web.
Senate Library SubcommitteeThe Senate Library Subcommittee was established in 1995 by Senate Document SD94-28. Eight members of the Subcommittee are elected by the Senate for three-year terms; the ninth member is the library director who serves as a non-voting member. The Subcommittee advises the Senate, through the University Resources Policy Committee, concerning policies and procedures for library collections, facilities, and operations.

General Collection | The general collection items located on the third and fourth floors of the library circulate to faculty for 120 days. | Reference Collection | The Reference Collection on the first floor and the Science Reference Collection on the fourth floor contains indexes, abstracts, encyclopedias, dictionaries, atlases, bibliographies, handbooks, and guides to book reviews, plays, essays, short stories, and other materials.
